How to manage subscription renewals in Studio

This article explains how to view your active subscriptions, check your renewal date and cost, and add or remove subscriptions - all from the Billing page in Studio.

Organization Administrators who need to manage sensor and Cloud Connector (cellular) subscriptions for their organization in DT Studio.

Key things to know about subscriptions

  • You have one yearly renewal date for all your subscriptions.
  • Sensors and Cloud Connectors (cellular) require an active subscription to work.
  • You can purchase new subscriptions anytime
    • Purchase through Studio to have the cost prorated to next year's renewal date.
    • Purchase through your sales contact to purchase for 1, 3, or 5 years. These purchases are prorated at renewal to align with your annual renewal date.
  • You can remove subscriptions at any time to prevent them from renewing at your next annual renewal.
    • Renewals with the shortest expiration dates are removed first.
  • Your Subscription Contact will be notified before the renewal date so you can confirm which subscriptions you want to renew.
  • Invoices are sent to your Invoice Contact or, if enabled, via EHF.

How to manage subscriptions

Find your renewal date

To find your annual renewal date, go to your Organization's Billing page in Studio and look at the Next Yearly Invoice date. Before the renewal date, verify that the number of subscriptions to be renewed over the next 12 months is correct.

View your active subscriptions

To see how many subscriptions you currently have, go to your Organization's Billing page in Studio and check the Sensor and Cellular subscription quantities and the Subscriptions overview.

The Subscriptions overview provides a complete view of all your subscriptions, including when they are prorated to align with your annual renewal date.

Example below: The annual renewal date is July 1st. The first two rows show sensor and cellular subscriptions that are already on annual renewal. The third row shows an additional 56 subscriptions purchased for 5 years, with a valid subscription until March 27, 2031. These subscriptions will be prorated (96 days) on July 1st, 20230, to align with the annual renewal date. Starting July 1st, 2031, all subscriptions are co-termed.

Payment Period: How much time the next payment covers. A period shorter than a year is prorated to align the subscription with your yearly billing date.

Renewal Date: The date the current term ends, at which point the subscription automatically renews.

Renewal Quantity: The number of subscriptions set to renew at the next renewal. This may be lower than the active quantity if some are not being renewed.

If all your subscriptions are in use, you must either purchase additional ones or deactivate devices to activate more devices.

View your renewal cost

To see what you'll pay at renewal, go to your Organization's Billing page in Studio and look at the Projected Renewal Cost value. This represents the total cost to renew your sensor and Cloud Connector (cellular) subscription services with Disruptive Technologies.

Add subscriptions

To add subscriptions, reach out to your sales contact or sales@disruptive-technologies.com. Alternatively, follow these steps on your Organization's Billing page in Studio to purchase subscriptions until your next renewal date. A subscription is needed to activate sensors or cellular-based Cloud Connectors.

If you add subscriptions beyond your current allocation, you'll be charged a prorated amount - meaning you only pay for the days remaining until your next renewal date.

  1. Select Adjust subscriptions, then select Edit for Sensor or Cellular subscriptions.
  2. Enter the total number of subscriptions you want to add.
  3. Review the prorated cost due now.
  4. Select Confirm subscriptions.
  5. Choose to Pay by Card or Pay with Invoice, and follow the payment instructions.

A separate payment is required for the purchase, while the annual renewal invoice will be increased for the new number of subscriptions. This keeps your renewal process simple with a single annual invoice.

Note: If you pay with an invoice, you must wait until the next day to purchase additional subscriptions.

The example below shows a scenario where 2 additional Sensor subscriptions and 1 Cellular subscription are added.

Remove subscriptions

To remove subscriptions so they won't renew, follow these steps on your Organization's Billing page in Studio. The change takes effect on your next renewal date. No credit will be issued for the remaining period; the adjustment will be reflected on the next annual renewal invoice. Renewals with the shortest expiration dates are always removed first.

  1. Select Adjust subscriptions, then select Edit for Sensor or Cellular subscriptions.
  2. Enter the total number of subscriptions you want to remove.
  3. Review the new annual price.
  4. Select Confirm subscriptions.
Important: You can remove subscriptions only if they are not currently assigned to any active sensors or Cloud Connectors. Make sure to deactivate devices before reducing the number of subscriptions.

The example below shows a scenario where 3 Sensor subscriptions are removed.

Troubleshooting / FAQ

Q: I need more subscriptions, but all my current ones are in use. What do I do?
A: Reach out to your sales contact or sales@disruptive-technologies.com. Alternatively, go to your Organization's Billing page in Studio, select Adjust subscriptions, and add the number of subscriptions you need. You'll be charged a prorated amount for the remaining days until your next renewal.

Q: Can I get a refund if I remove subscriptions before the renewal date?
A: No. If you reduce subscriptions before your renewal date, no credit will be issued for the remaining period. The lower subscription count will take effect at your next annual renewal.

Q: Why can't I remove a subscription?
A: You can only remove subscriptions that are not currently assigned to active devices. You need to deactivate the device first, then remove the subscription.

Q: I paid by invoice. Why can't I buy more subscriptions right away?
A: If you pay with an invoice, you must wait until the next day before purchasing additional subscriptions.

Q: What subscriptions are removed first when I have multiple subscription periods and reduce the number to renew?
A: The subscriptions closest to expiring are selected first, ensuring you get maximum value from your purchases.

Q: How do I purchase a 1, 3, or 5-year subscription?
